| Job Purpose To be responsible for the smooth workflow of each and every project, ensuring that all projects come in on time, to budget and that all work is of the highest quality Job Responsibilities To book work into the Studio, advising on time required, availability of team members to fulfill requirements and ensure other resources required are available (using project scheduling software as appropriate). To ensure deadlines as appropriate are given and adhered to. To liaise with Studio team members with regards to projects, to ensure all activity is on schedule and to forecasted budget To progress work, chasing where necessary to ensure work plans remain accurate To ensure Project Managers/Client Services teams are up to date with any changes, delays or additional work that will impact on deadlines To ensure there is sign-off/PO coverage for any changes or additional hours To ensure Studio team members are timely and accurate in the completion of time sheets in relation to projects To reconcile time allocated with time booked to ensure accurate invoicing for the client and to report on profitability To carry out budgeting and invoicing activities as necessary, ordering materials and managing project costs To provide back-up support for general artwork, print and replication work to help the Studio meet deadlines To ensure high quality standards are maintained through rigorous checking and sign–off processes, implementing and meeting ISO Quality standards To archive project materials for retrieval/reference for subsequent projects To ensure all member of the team within the studio adhere to the job directory filing system To undertake any other activity as defined by the Creative Director as being within the scope and range of the role. Person Specification An agency background with a good all round knowledge of production Ideally experience gained in a traffic/production department is required or other appropriate experience in managing the delivery of creative solutions. Highly organised and able to manage own time and the time of others to ensure success in terms of quality and meeting deadlines Familiarity with or ability to learn and develop the use of appropriate project scheduling software A flexible approach to support all the activities in the Studio Ideally some practical knowledge of key design software such as PhotoShop, Illustrator, InDesign etc with some ability to produce artwork appropriate to business use. Knowledge of PowerPoint to at least an intermediate level A good understanding of print and web based communications An eye for detail and accuracy Team player with a ‘can do’ attitude Good communication skills with the ability to understand direction and take projects through to completion Willingness and ability to learn and develop design skills.
